[Legal business name] is the data controller for personal data processed through School Planner Compass. Schools that add pupil, parent and staff records decide what they enter and are responsible for having a lawful basis to share it with us.
Data we collect and why
- Account details (name, email, password, role, school) — to create your account and control access. Basis: contract.
- School records (students, attendance, grades, fees, timetables, lesson notes, homework) — to provide the Service. Basis: contract and the school's legitimate interests.
- Recordings and uploads (class audio/video, tutor videos) — to store and share them with approved members. Basis: contract and consent where required.
- Support messages and developer reports, including the page and device details you send — to help you and fix problems. Basis: legitimate interests.
- Usage and device data (IP address, browser, error logs, activity history) — for security, fraud prevention and improving the Service. Basis: legitimate interests.
- Text you send to AI features — to generate lesson plans, activities and support answers. Basis: contract.
Who we share it with
- Service providers that host the app, store files and run AI features on our behalf.
- Paddle, our Merchant of Record, for the sale of subscriptions, payment processing, subscription management, tax compliance and invoicing.
- Professional advisers such as lawyers and accountants.
- Authorities where the law requires it.
Within a school, records are visible only to the people the school owner approves and the roles the app allows.
International transfers
Our providers may process data outside your country. Where required, we rely on safeguards such as standard contractual clauses.
Retention
We keep data while your account or school is active. After it is closed, we delete or anonymise data within 90 days, unless the law requires us to keep it longer.
Your rights
Depending on where you live, you can ask to access, correct, delete, restrict or move your data, object to processing, or withdraw consent. Email us and we will reply within one month. You may also complain to your data protection authority.
Security
We use encryption in transit, access controls per school and role, and private storage for recordings.
Cookies and device storage
We use essential storage only: to keep you signed in, remember your curriculum country, and save data for offline use. We do not use advertising cookies. Signing out clears saved data on that device.
